Cases / STARWILL
An entire operation that depended on a single person.
How Starwill traded hours of manual work for precise automations, without losing control of the business.
Case summary
Clarity before technology.
Starwill is an import company run by a single founder. Quotes, orders, invoices and controls all went through the founder, in manual, disconnected processes.
Before any automation, we mapped the day-to-day of the operation. AI came in only where the map showed real return, starting with invoice issuing.

The challenge
An import company run by a single founder, with an overloaded routine, operational bottlenecks and costly, disconnected manual processes.
The plan
Map the founder's day-to-day and implement surgical AI automations, prioritizing clarity before technology.
What we built
From a map of the routine to a documented process.
Mapping
Every task of the founder analysed and categorized by frequency, impact and priority.
Invoice automation
Invoice issuing, the heaviest task in the routine, started to run automatically.
Parallel run
Two weeks with the manual process and the automation side by side, to ensure reliability.
Documentation
The new process documented end to end and handed over to the client.

A founder with time back to decide, not only to operate.

Deliverables
Every deliverable, in detail.
Task map
A full inventory of the routine, with each task ranked by frequency, impact and priority. This map defined what to automate first and what to leave as it is.
Automatic invoice issuing
Order data feeds the invoice with no manual typing. The founder reviews and approves instead of filling it in field by field.
Parallel validation
For two weeks, the old and new processes ran together. Every result was checked before the manual one was switched off.
Documented process
Flows, responsibilities and checkpoints recorded and handed to the client, so the operation depends neither on memory nor on consultants.

Automate only after understanding.
Technology came in where the mapping showed it would make a difference, and nowhere else.
